You started with good intentions.
You'd do your own bookkeeping. Save money. Keep it simple. After all, QuickBooks is supposed to be easy to use, right?
Fast forward six months (or maybe two years), and your books look like a junk drawer. The same category listed three times. Payments you don't recognize. Your QuickBooks balance doesn't match your bank. And a sinking feeling that tax time is going to hurt.
If this sounds familiar, you're not alone. Most business owners who do their own QuickBooks hit this wall sooner or later. The good news? Your books can be fixed. The better news? You don't have to spend your nights watching YouTube tutorials to do it.
How it usually goes wrong
Here's what usually happens:
You sign up for QuickBooks Online. You connect your bank account. Your purchases and payments start showing up. You sort a few expenses. You send some invoices. Everything seems fine.
Then the cracks appear.
You notice you've been putting everything from printer ink to software under "Office Supplies." Your list of categories has seventeen versions of "Miscellaneous." You're not sure if you recorded that customer's payment once or three times. And checking QuickBooks against your bank statement? You stopped doing that months ago.
This isn't about you not being smart enough. It's about QuickBooks never being set up properly.
QuickBooks works well, but only if the basics are set up right at the start. Most business owners skip that step because they're busy running their business.
Fixing it yourself: what it really takes
If you want to clean it up on your own, here's an honest look at the work involved.
Step 1: Clean up your categories
In QuickBooks, every dollar you spend or earn goes into a category, like "Rent," "Advertising," or "Sales." (Your accountant calls this list your Chart of Accounts.) If your categories are messy, every report you run will be messy too.
You'll need to:
- Go through every category on your list
- Combine categories that are the same or very similar
- Remove categories you don't use
- Set up categories that fit how your business actually works
- Use standard names, so your accountant can make sense of them
Time it takes: 4–8 hours, depending on how many categories you created.
Step 2: Clean up your customer and vendor lists
When you send an invoice or enter a bill, QuickBooks gives you a dropdown list of names. Those lists probably need some attention too.
Look for:
- The same name entered more than once (Bob's Plumbing, Bob's Plumbing LLC, and just "Bob")
- Old customers and vendors you don't work with anymore
- Missing details, like payment terms or contact information
- Names spelled different ways
Time it takes: 2–4 hours.
Step 3: Make QuickBooks match your bank
This is where most people give up.
Every month, the balance in QuickBooks should match your bank statement. Checking this is called reconciling. If you haven't been doing it, you now have a backlog of months to catch up on.
You'll need to:
- Go through each bank and credit card account, one month at a time
- Find where QuickBooks and your statement don't agree
- Find payments that were entered twice
- Find payments that are missing
- Make corrections where needed
Time it takes: 3–6 hours for each account, for each month you're behind. (Yes, really.)
Step 4: Fix past entries
Once your categories are clean, you need to go back and move past entries into the right ones. Every lunch you put under "Miscellaneous." Every software bill you put under "Office Supplies." Every customer payment you're not sure you recorded correctly.
Time it takes: 10–20 hours, depending on how busy your business is and how long things have been messy.
Step 5: Set it up so it stays clean
To keep this from happening again, you need a few things in place:
- Rules that tell QuickBooks how to sort your regular bank charges automatically
- Repeating invoices for customers you bill every month
- Automatic payment reminders for customers
- A monthly reminder to check QuickBooks against your bank (one you'll actually follow)
- Saved reports that show the numbers you care about
Time it takes: 3–5 hours to set up, plus the habit of keeping it up.

The reality check
If you read that list and didn't feel tired, congratulations. You have more patience than most business owners.
But here's the thing: even if you do every step, you're still working from what you taught yourself. You might set things up in a way that makes sense to you but causes problems at tax time. You might miss shortcuts that would save you hours. And you're spending time on bookkeeping that you could be spending on your business.
It's okay to admit this isn't your strength.
